Application steps to becoming a GP educator in Yorkshire and Humber

Discover how to become a GP educator with our comprehensive step-by-step guide, designed to support you through the application process from start to finish.

Step 1: Initial enquiry

Contact primary care school GP trainer approvals team to express your intention to become a trainer. They can direct you to your local training programme director (TPD) who will discuss what GP training involves to help you understand if the role is suitable for you. The TPD will inform you of trainer workshops and plenaries run by the scheme, which you should start attending.

Step 2: Initial application

Complete the intending GP trainer application form.

You will need to complete this form. Regarding the question about the practice ODS code, if you are unsure then please ask your practice manager or search on the ODS portal before submitting the form.

Once this is filled in, it will automatically create you an account on our intending trainer app. From there, a link will be sent to your TPD to fill out the initial TPD report.

Step 3: Complete the training courses

Book onto all intending trainer courses on MaxCourse.

All courses are run virtually and must be completed in the following order:

Book these first

  • intending GP  trainers and multiprofessional supervisor  pathway  day 1
  • intending GP  trainers and multiprofessional supervisor  pathway  day 2 (half day)

Then book these half day courses (can be completed in any order)

  • intending GP trainer – WPBA (workplace-based assessments)
  • intending GP trainer – clinical supervision
  • intending GP trainer – consulting  skills
  • intending GP trainer – educational  difficulties in GP  training

Step 4: Become a clinical supervisor in Yorkshire and Humber

Once you attend a course, it will automatically update the app. Once all 6 courses are completed, your TPD will receive a notification to fill out their ‘CS TPD recommendation’.

  • to become a clinical supervisor in the February rotations the deadline for the ‘CS TPD recommendation’ to be complete is the 30 September the year before.
  • to become a clinical supervisor in the August rotations the deadline for the CS TPD recommendation to be complete is the 31 March before the August you wish to start

Once the ‘CS TPD recommendation’ has been completed, you will be approved as a clinical supervisor and allocated an ST1/ST2 GP registrar for the next rotation.

Step 5: Equipment funding

When approved as a clinical supervisor, funding of £1,500 will be provided automatically to enable the practice to purchase necessary equipment for the GP registrar. No claim form is required. This will be paid to the practice 1 month after you start as clinical supervisor.

Step 6: Mentoring

Prior to starting as a clinical supervisor and having been allocated a GP registrar you will also be allocated a mentor.

The mentor is there to guide you through the next 6 months and help you prepare to be an educational supervisor. They will also receive a link along the way to provide feedback on how you are getting along and to confirm they have covered certain things with you that will help you to become an educational supervisor.

Your mentor will provide one-to-one training and support on the practicalities of GP training. The expectation is 18 hours of mentoring time (nominally six three-hour sessions). Up to six hours can be completed before you start as a clinical supervisor, with most mentoring taking place when you have a GP registrar at the practice.

Step 7: Final course

Approximately five months into being a clinical supervisor, you will need to book via Maxcourse and attend the final course:

Intending GP trainer - final course including educational supervision.

Step 8: Full trainer approval application

Once you have been a clinical supervisor for 6 months, completed your mentoring and have attend the final course a link will be sent again to your TPD who will complete your final TPD recommendation section. After this is complete you will be able to apply for an interview to become an educational supervisor. The deadlines for applications for interview are 31 January for a Spring interview and a start date as an ES the following August, or 31 July for an Autumn interview and a start date of becoming an ES the following February.

Step 9: Trainer approval interview

Following submission, you will be invited to a one-to-one interview with a QA TPD to discuss various aspects of GP training. You will be advised how to book the interview online once you have submitted your application to become a full trainer. The interview will be conducted on MS Teams and will last up to an hour. Interviews are held:

  • September/October for August applications
  • March/April for February applications

What to expect at your interview

Although the idea can seem daunting, the interview is not intended to catch you out. It is to explore your understanding of training and ensure that you have the necessary knowledge and skills to train effectively.

Areas that may be covered include:

  • personal characteristics relevant to training
  • personal preparation for the role of trainer/workplace-based assessments
  • educational theory and adult learning concepts
  • practice as a training practice
  • registrars with problems
  • curriculum coverage
  • support within practice for trainer and training process
  • responsibilities as a trainer GMC/employer
  • continuing professional development needs as a trainer

Unsuccessful at interview

The interview is to ensure you are ready to become a full GP Trainer. If there are any outstanding needs identified at the interview, these will be discussed with you on an individual basis at the time or soon after the interview. What will happen leading on from this includes:

Initially, the QA TPD who conducted the interview will contact your scheme TPD and your mentor to discuss. This is to determine whether it was difficulties with the interview on the day, or if there are other underlying concerns regarding your ability to be a trainer.

You may then be invited to a second interview with a different QA TPD/AD, if further triangulation is needed.

Following on from this, you will either be approved, or it may be suggested that a further six months working as a clinical supervisor with further mentoring would help you progress. If there are significant concerns regarding you being approved as a trainer, then your application will not be approved and your status as a clinical supervisor will be withdrawn.

Approval

Once you successfully complete your interview, you'll be approved as a GP trainer (both clinical and educational supervisor) from either August or February immediately following your interview.

At the point of your approval as a clinical supervisor, the GP approvals team will register you with the GMC as a clinical supervisor only, and following your successful interview, they'll update your registration to include both clinical supervisor and educational supervisor status.

As a registered trainer, as a GMC registered trainer you will need to ensure that you keep up to date undertaking relevant CPD and meet the GMC requirements for a trainer. A trainer curriculum is available on the website. To achieve this you’ll need to stay involved in trainer's workshops or plenaries depending on what's available in your programme area, and you'll have access to multiple trainer courses, including Yorkshire and Humber experienced educator course.

Your work as a GP trainer must be assessed as part of your NHS annual appraisal.
