Once appointed to a training programme within YH, you will need to ensure the following:
- You are registered with the GDC. Please see the Temporary Registration section below, if applicable.
- You are registered on the Perfomers List, if working in a primary care setting
- You engage with the pre-employment checks from your employing organisation
- You provide the School of Dentistry with an up-to-date email address, if the one you have applied with via Oriel is not your preferred email address
Dentists appointed to a Dental Core or Joint Dental Core and Foundation Training programme will be invited to attend the Introduction to OMFS Course.
Dentists in Foundation and Core Training programmes will use Axia ePortfolio. Access is provided by the Dental Support Team and you will receive log in prior to commencing your post. If you have an existing Axia account from a previous post, your log in details will remain the same and your new post will be added.
Dentists in Oral Medicine, Oral Surgery, Orthodontics, Paediatric Dentistry, Restorative Dentistry and Special Care Dentistry will use ISCP ePortfolio. Access is provided by the releavnt SAC.
Dentists in Dental Public Health will use NES ePortfolio.
Dentists in Oral and Maxillofacial Pathology will use LEPT ePortfolio.
Dentists in Dental and Maxillofacial Radiology will be Risr ePortfolio.
Evidence should be collected and uploaded to your ePortfolio regularly throughout the year. Dentists are responsibile for keeping their personal details and post details up-to-date on eportfolio. On Axia, please ensure that your location is populated as this will put on to your completion certificate.

Review of Competence Progression (RCP)
All Dentists in a Postgraduate Training Programme will have a Review of Clinical Progression (RCP) or Annual Review of Competence Progression (ARCP) in training programmes longer than 12 months. The RCP process is aimed at ensuring that the required competences are being gained at an appropriate rate and through appropriate experience within the training programme.
The expectation is that the Dentist will drive their training against an agreed set of objectives and timeline in order to maximise their training opportunities and development. Clinical Supervisors, Educational Supervisors and members of the NHSE teams all have a role, but the primary responsibility for training progression sits with the individual.
Dentists within Foundation and Core training programmes will have an RCP after six months WTE in the training programme and a final RCP at the end of the training programme (normally within the last two months). Dentists within Specialty training programmes will have an ARCP after six months, at the end of their ST1 year and annually thereafter.

Each training programme has a number of useful resources regarding RCP evidence requirements and timelines.
RCP when Out of Programme, on Sick Leave or on Parental Leave
Dentists on parental leave are not required to submit any evidence for their ARCP as a "non assessed" outcome will be awarded to cover the period.
Dentists on sick leave will not have an ARCP. Depending on the period of time that the dentist is off sick, the ARCP will either be postponed until they have returned to training or a "non assessed" outcome will be awarded to cover the period.
Dentists that are out of programme (OOPR, OOPE, OOPT, OOPP) will be required to submit a report from their OOP Supervisor. This can be in any format, however, there is a template document available here.
Dentists that are out of programme on a career break (OOPC) are not required to submit any evidence for their ARCP.
Completion Date for Dental Specialty Training Programmes
The ARCP is often used as an opportunity for your Training Programme Director to reconfirm your CCST date. This may change due to a variety of reasons including:
- Planned and unplanned absences from the training programme including parental leave, long term sick leave and OOP
- An ARCP Outcome 3
- A change of working hours, through the approved less than full time process

Requesting to Bring Forward a CCST Date in Dental Specialty Training Programmes
The Study Leave policy is applicable to all Dental Foundation, Dental Core and Dental Specialty Trainees.

Dental Trainees should apply for study leave using Accent Leave Manager.
Study leave will be approved by the Training Programme Director when it relates to the curriculum delivery matrix for that specialty. Requests for study leave that do not relate to the curriculum delivery matrix will require approval by the Associate Dental Dean.
Dental Foundation Trainees are not permitted to take leave in the first month of their training, unless they have had prior agreement to present an an academic conference. Agreement must be sought from Dr Jason Atkinson, Associate Dean.

Many of the mandatory study days are delivered directly by the YH School of Dentistry. These are detailed in the Study Day Planners.
The completion of the mandatory study day programme is vital to progressing in your training. We offer a mix of virtual and face-to-face courses which are all bookable via Blackboard. All trainees should enrol onto their BlackBoard courses before the course start date. Attendance at all study days is mandatory.

Expenses incurred for travel to and from study days will be claimed from your employing organisation. Please contact their Medical Education Team for further information.
Please notify the School of Dentistry of any periods of absence that you take from training that are greater than two weeks, for example sick leave or parental leave. These can be communicated via email to england.dentalsupport.yh@nhs.net.
Supported Return to Training (SuppoRTT)
Dentists may have a period of time away from training for many reasons including ill health, parental leave, adoption leave or an approved out of programme application.
When planning an absence (where applicable) and planning a return from absence, please access the SuppoRTT resources and documentation.
Mentoring is defined as “the process whereby an experienced, highly regarded, empathetic individual (the mentor) guides another individual (the mentee) in the development and re-examination of their own ideas, learning and personal and professional development” (Oxley, 1998)
IT IS:
- Helping you define your issue, facilitating you exploring and finding the optimal solution.
- Helping you set achievable actions to your timelines.
- It is mentee led as far as pro-action but mentor led through a structured, ‘proven to work’ framework to help you be your best self.
IT IS NOT:
- Providing the solution or instruction to resolve your problem.
- A counselling service.
The Mentor/mentee relationship can be informal or formal. Formal mentoring will provide a relationship agreement with set boundaries and caveats, protecting you and other people in your lives, in particular, patient care.
The School of Dentistry provides mentoring to trainees who feel they are struggling or facing greater challenges than they are experienced to handle. The mentoring facility can be self-directed or advised as a result of a RCP Outcome 2 or 3.

A member of the Dental Team will then be in touch within a couple of weeks with details of your assigned Mentor.
Temporary Registration with the GDC
The GDC is the regulatory body which regulates dentists in the UK. To practice in the UK, one requires registration with the GDC. There are two types of registration:
- Full registration which you can gain on graduating from a UK dental school, or in most cases a European dental school, or by passing the Overseas Registration Examination. More guidelines can be found on the GDC website, including some alternative paths to full registration.
- Temporary registration which is given by the GDC for a limited period of time, typically to work in secondary and tertiary care NHS hospitals. Please note, temporary registration does not lead to full GDC registration and can only be given for a maximum of 5 years.

Satisfactory Completion
In Dental Foundation Training, satisafctory completion is characterised by receiving an outcome 6 at FRCP. Completion certificates are made available via Axia ePortfolio in the last week of the training programme. Certificates must be retained as duplicate certificates will not be provided in the future.
In Dental Core Training, satisfactory completion is characterised by receiving an outcome 1 at FRCP. Completion certificates are made available via Axia ePortfolio in the last week of the training programme. Certificates must be retained as duplicate certificates will not be provided in the future.
In Dental Specialty Training. satisafctory completion is characterised by receiving an outcome 6 at ARCP. Once a dentist receives their ARCP outcome 6, the School of Dentistry will confirm the completion of training to the GDC in order for the dentist to be added to the specialist register.
